Manitoba Rugby Hall of Fame Committee Roles and Responsibilities

  1. Committee Chair (Two Year Term)
    • Developing and maintaining basic Committee/Sub-Committee structure, roles and responsibilities, and schedule leading to the Induction Dinner.
    • Appointing Sub-Committee Chairs, Committee Vice Chair, Committee Recording Secretary, and Committee Communications Coordinator.
    • Overseeing/monitoring Sub-Committee activities; chairing Committee meetings involving Sub-Committee Chairs; and providing direction to Sub-Committee Chairs when required.
  1. Committee Vice Chair
    • Assisting the Committee Chair with roles and responsibilities as and when directed.
    • Attending Committee Chair meetings.
    • Accepting the position of Committee Chair when the Committee Chair steps down from the position.
  2. Recording Secretary
    • Recording and distributing minutes of Committee Chair meetings.
    • Recording and distributing minutes of Committee Chair meetings.
    • Attending Committee Chair meetings.
    • Following Committee approval for induction, preparing or arranging to have prepared Inductee Write Ups for publication purposes.
  3. Communications Coordinator
    • Developing, vetting and distributing all formal communications between the Committee and inductees, external organizations and the public.
    • Liaising with Manitoba Sport Hall of Fame and Rugby Manitoba on matters relating to rugby memorabilia storage and display.
    • Liaising with the Manitoba rugby community and its various groups, educating, promoting and encouraging the submission of nominations.
    • Attending Committee Chair meetings, reporting on status of communication activities and issues.
    • Accepting the position of Committee Chair when the Committee Chair steps down from the position.
  1. Finance Sub-Committee Chair (Two Year Term)
    • Developing Finance Sub-Committee structure, roles and responsibilities for Sub-Committee members if required.
    • Appointing Finance Sub-Committee members.
    • Monitoring Finance Sub-Committee members activities; chairing Finance Sub-Committee meetings (as and if required); and providing direction to Finance Sub-Committee members when required.
    • Attending Committee Chair meetings, reporting on status of Finance
  1. Treasurer
    • Developing and maintaining basic Committee/Sub-Committee structure, roles and responsibilities, and schedule leading to the Induction Dinner.
    • Appointing Sub-Committee Chairs, Committee Vice Chair, Committee Recording Secretary, and Committee Communications Coordinator.
    • Overseeing/monitoring Sub-Committee activities; chairing Committee meetings involving Sub-Committee Chairs; and providing direction to Sub-Committee Chairs when required.
  2. Sponsorship Coordinator
    • Identifying, soliciting, developing and managing Committee sponsorship opportunities.
    • Soliciting volunteers when and if required.
    • Attending Finance Sub-Committee meetings (as and if required), reporting on status of sponsorship activities and issues.
  1. Induction Dinner Event Sub-Committee Chair (Two Year Term)
    • Developing Induction Dinner Event Sub-Committee structure, roles and responsibilities for Induction Dinner Event Sub-Committee members if required.
    • Appointing Induction Dinner Event Sub-Committee members.
    • Overseeing/monitoring Induction Dinner Event Sub-Committee members’ activities; chairing Induction Dinner Event Sub-Committee meetings (as and if required); and providing direction to Induction Dinner Event Sub-Committee members when required.
    • Attending Committee Chair meetings, reporting on status of Induction Dinner Event Sub-Committee activities and issues.
  1. Venue/Catering/Beverages Coordinator
    • Investigating, identifying and securing venue, catering and beverage services for Induction Dinner Event.
    • Attending Induction Dinner Event Sub-Committee meetings (as and if required), reporting on status of venue/catering/beverage activities and issues.
  2. Tickets/Invitations Coordinator
    • Identifying and securing ticket and invitation printing/production services for Induction Dinner Event.
    • Distributing tickets and monitoring and controlling ticket sales.
    • Attending Induction Dinner Event Sub-Committee meetings (as and if required), reporting on status of ticket production, distribution and sales initiatives.
  3. Program Coordinator
    • Securing printing/production of Induction Dinner Event program, including soliciting, developing and editing of all content.
    • Attending Induction Dinner Event Sub-Committee meetings (as and if required), reporting on status of program development, activities and issues.
  4. MC/Agenda
    • Identifying and securing a master of ceremonies for Induction Dinner Event. Developing evening’s agenda for Induction Dinner Event.
    • Attending Induction Dinner Event Sub-Committee meetings (as and if required), reporting on status of master of ceremonies and agenda activities and issues.
  1. Exhibit Sub-Committee Chair (Two Year Term)
    • Developing Exhibit Sub-Committee structure, roles and responsibilities for Exhibit Sub-Committee members if required.
    • Appointing Exhibit Sub-Committee members.
    • Monitoring Exhibit Sub-Committee member’s activities; chairing Exhibit
    • Sub-Committee meetings (as and if required); and providing direction to Exhibit Sub-Committee members when required.
    • Attending Committee Chair meetings, reporting on status of Exhibit Sub-Committee activities and issues.
  1. Archivist
    • Serve as Committee Archivist, gathering and storing any and all information related to the official workings and outputs of the Committee.
    • Attending Exhibit Sub-Committee meetings (as and if required), reporting on status of archival activities and issues.
  2. Inductee Displays and Dinner Displays Coordinator
    • Investigating, identifying and securing means/methods of displaying inducted hall of fame members at Maple Grove Rugby Park.
    • Updating means/methods of display, incorporating new inducted hall of fame members.
    • Soliciting and managing Induction Dinner Event club/organization displays.
    • Attending Exhibit Sub-Committee meetings (as and if required), reporting on status of Inductee and Dinner Display activities and issues.
  3. Web Site Coordinator
    • Developing and maintaining MRHOF official web site and updating site content as/when required.
    • Attending Exhibit Sub-Committee meetings (as and if required), reporting on status of web site activities and issues.
  4. Inductee Memento Coordinator
    • Securing services for the production of the Hall of Fame personal memento for each new inducted member.
    • Securing inducted member photographs/artwork to be incorporated on Hall of Fame personal memento and the Induction Dinner Event program.
    • Attending Exhibit Sub-Committee meetings (as and if required), reporting on status of Inductee Memento activities and issues.
  5. Artifact Historian
    • Developing and maintaining rugby artifact collection, retention and display protocols and processes
    • Attending Exhibit Sub-Committee meetings (as and if required), reporting on status of Historical Artifact activities and issues.
  1. Induction Sub-Committee Chair (Two Year Term)
    • Establishing induction criteria/parameters for each induction category.
    • Establishing and developing nomination submissions criteria.
    • Developing Induction Sub-Committee structure, roles and responsibilities for Induction Sub-Committee members if required.
    • Appointing Induction Sub-Committee members.
    • Monitoring Induction Sub-Committee members’ activities; and providing direction to Induction Sub-Committee members when required.
    • Chairing Selections Jury meetings in a non voting capacity.
    • Receiving and delivering to the Nominations Coordinator all nomination forms received electronically through the MRHOF Web Site.
    • Forwarding Selections Jury recommended inductee nominations to the Committee for induction approval.
    • Soliciting Rugby Manitoba ratification of Committee approved inductees.
    • Attending Committee Chair meetings, reporting on status of Induction Sub-Committee activities and issues.
  1. Nominations Coordinator
    • Identifying and determining various means of soliciting nominations.
    • Soliciting, collecting and reviewing nominations for completeness and compliance with HOF Guidelines.
    • Working with identified nominators and other personnel or groups to research and flesh out nomination details as may be required to ensure as completed a nomination form as is possible.
    • Forwarding completed nominations to the Selections Jury for review and evaluation.
    • Attending Selections Jury meetings as a non voting member for information purposes only.
    • Attending Induction Sub-Committee meetings (as and if required), reporting on status of nomination activities and issues.
  2. Selections Jury
    • Reviewing and evaluating completed nominations received from the Nominations Coordinator against established induction category criteria; and undertaking to vote upon each nomination to determine whether or not the submitted nomination at that time is deserving of a recommendation for induction to the Manitoba Rugby Hall of Fame.
    • Attending Induction Sub-Committee meetings (as and if required).
